Duplicate Director Records

The Companies and Intellectual Property Commission (CIPC) has issued Notice 76 of 2024 regarding duplicate records for company directors. Here’s what you need to know:

  1. Duplicate Records are created when instead of updating an existing director's passport number by editing it a new record is created. This leads to two separate records for the same person, as the system uses ID/passport numbers as unique identifiers.

  2. Proper Procedure: Instead of creating a new record, filers must use the "edit" option to update the existing director's passport number already verified through the FAV process.

  3. How to Resolve Duplications: Companies with duplicate director records must pass a resolution to remove the duplicate. Use the "remove" option in the CIPC system and attach the resolution when filing.

  4. Amending Incorrect ID Numbers: Do not use the Director Amendment process to correct ID number errors. All information should be verified for accuracy before filing to avoid issues.
